These are plan limits, not a promise of unlimited capacity after upgrading. Todoist also applies general limits across plans, including 300 active tasks per project and 20 sections per project.

In particular, Pro does not increase the five-person limit for a personal project. Evaluate a team workspace separately if that is your requirement.

Who Should Stay on Free?

Stay on Beginner when:

  • Your active personal work fits comfortably within five projects.
  • Three custom filters cover the views you need.
  • List and board layouts suit your planning.

The practical reasons to upgrade are usually one of these:

1. Your project structure needs room

A freelancer may want separate projects for several active clients, business development and personal responsibilities.

If your existing structure is cramped, additional projects can make organization clearer. If you already struggle to maintain a small system, adding dozens of projects may introduce more work.

2. You need more precise planning

Task durations can help you distinguish a ten-minute administrative task from a two-hour assignment. Calendar layout gives those intentions a visual place in the schedule.

A planned duration is an estimate, not a measurement of the time you actually spent working.

3. You need more history or custom reminders

For a team, evaluate total cost using the number of paid users. Five paid Business users cost $50/month, or $480/year with annual billing.
